This position supports three departments: Commercial Construction, Residential Homes Construction, and Land Development.
What You'll Do:
As a Construction Administrative Assistant, you’ll provide essential administrative and coordination support to our project teams. You’ll use software programs like Procore, Buildertrend, Sage, and Insightly to manage records, generate reports, and supporting day-to-day operations.
Use Buildertrend to document and track residential construction projects and activity.
Use Sage financial software for budgeting and project cost tracking in land development.
Utilize Insightly CRM software to track sales opportunities and manage the sales pipeline.
Request, collect, and manage subcontractor/vendor documentation including COI’s, lien waivers, and W-9s.
Maintain subcontractor and vendor databases.
Prepare and distribute project status reports for internal and external use.
Conduct audits for documentation compliance, submission timelines, and record accuracy.
Prepare purchase agreements, deeds, and sales-related documents.
Provide administrative and organizational support to ensure smooth daily operations.
Provide front desk coverage when needed (answer phones, greet visitors, etc.).
Perform general clerical tasks: routing documents, filing, photocopying, and scanning.
What We're Looking For:
High school diploma or GED required.
1+ year of administrative or construction-related experience, or a combination of education and experience.
Experience with Procore, Buildertrend, Sage, Insightly, and Bluebeam highly preferred.
Proficient with Microsoft Office (Outlook, Word, Excel, Teams) and Adobe Acrobat.
Familiarity with construction terminology and OSHA regulations preferred, but not required.
Strong data entry and report writing skills, with the ability to quickly learn and apply new systems, software, and technology.
Highly organized, detail-oriented, and able to manage multiple priorities and meet deadlines in a fast-paced environment.
Proactive and resourceful – anticipates needs, solves problems, and identify efficiencies.
Adaptable, dependable, receptive to direction and feedback.
Strong communicator who works well independently and within a team.
