SUMMARY

Opening its doors over 45 years ago, FSSI is a leading document outsourcing company servicing Fortune 500 companies in the financial, banking, insurance and billing industries across the U.S. We are looking for an Account Coordinator to join our Client Services team in Santa Ana, CA. This role will assist the Client Services Team in coordinating the day-to-day tasks for assigned client accounts or applications. This position also provides lunch and rest breaks to the Receptionist. We're looking for someone who will enjoy assisting in many areas within the department, taking on additional administrative duties as needed.

Full-time Schedule: Monday - Friday, 8:30 am - 5:00 pm (onsite)

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist other Account Representatives (AR), Account Managers (AM), Supervisors or Managers as needed with reviewing output and delivering items to other departments.
  • On a daily basis, this position will complete the "pull" process, which requires working in the production areas to physically pull printed pieces from work orders for various reasons, as requested.
  • Create shipping labels for overnighting of documents, including accurate billing references.
  • Create monthly client reports and assist with Statements of Work, price sheets, and other client-related documents for multiple Account Representatives or Account Managers.
  • With oversight from an AR, AM or the supervisor, complete the following tasks on a day-to-day basis. The number of accounts or applications assigned depends on the daily involvement and planning for jobs required, the demands of the client and the complexity/number of applications. This includes but is not limited to:
    • Reviewing and monitoring File Tracking Reporting
    • Monitoring production job flow and managing exceptions
    • Communicating production issues timely and accurately
    • Monitoring postage and inventory balances
    • Communicating directly with clients at the operational level, both verbally and in writing, including emails and letters
    • Preparing documentation for stock purchases
    • Creating and monitoring development requests in WorkFront system (project management software)
    • Documenting discussions during client meetings and conference calls.
    • Checking and approving FSSI invoices for accuracy based on production counts and established price sheets.
    • Assisting clients in understanding basic technicalities of print and mailing specifications and FSSI’s solutions.

SECONDARY DUTIES

  • Provide daily breaks for the receptionist as assigned (typically one morning break and lunch breaks every day):
    • Answer and direct phone calls in a polite and timely manner.
    • Welcome visitors in a warm and friendly manner, and answer and refer inquiries.
    • Manage access to front door and monitor the front and back gates, allowing access to guests, vendors, and delivery services.
    • Follow processes to secure access to the facility by issuing visitors passes, ensuring visitors sign in and out and are escorted by the appropriate FSSI employee.

Requirements

EDUCATION, EXPERIENCE, SKILLS

  • High school diploma or equivalent required.
  • Bachelor’s degree or equivalent experience preferred.
  • One year of related services experience preferred.
  • Effective business professional communication and presentation skills, both verbally and in writing (emails, letters, proposals).
  • Strong attention to detail, problem-solving and multi-tasking skills.
  • PC literacy, with a working knowledge of MS Word, Excel, PowerPoint.
  • Demonstrate a strong customer service philosophy and attitude
  • Must work effectively both independently and with all levels of employees.
  • Demonstrate an aptitude for learning and understanding technicalities of data files, print and mailing specifications.
  • Must remain flexible to take on varying duties and maintain a high level of confidentiality.

Hourly Pay Rate Range: $21.00 - $24.00

Although a bachelor's degree is not required for this position, any promotional growth within the department would require the completion of a bachelor's degree.
